Privacy Notice

Who we are

Zahin Solutions is an authorised agency of AIA PUBLIC Takaful Bhd. This notice explains how we collect and use personal data submitted through this website, in accordance with the Personal Data Protection Act 2010 (PDPA).

What we collect

Through our enquiry, career and internship forms we collect your name, contact number, email address and, depending on the form, your age, qualification, occupation, university, course, preferred start date and CV. Our Life Planners also have their own pages on this site (at addresses beginning /a/). The forms on those pages collect your name and contact number, and, depending on which form you use, your date of birth, gender, occupation, marital status, smoking status, indicative budget, the protection you are interested in, and for employers your company name, industry, employee headcount, current provider and renewal date, together with any notes you add. Every form on this site also asks, optionally, who referred you. You may leave it blank, and leaving it blank has no effect on how we handle your enquiry. Separately, if you contact the agency somewhere other than this website, for example by sending a service request to our LinkedIn page or by telephone, an administrator may record what you told us in the same enquiry records, so that a Life Planner can reply to you. Our Life Planners also have recruitment pages (at addresses ending /careers). If you apply through one, we collect your name, contact number, email address, age, highest qualification, current occupation, when you could start and anything you write about why you are interested. An application is kept separately from client enquiries, is seen by the Life Planner whose page you used and by the agency administrators, and is never treated as a sales enquiry or shared with AIA PUBLIC Takaful Bhd. for that purpose. When you submit a form we also record how you reached this site: the name of a campaign link you followed, whether you came from an advert and on which platform, the website that sent you (its name only), and the first page you opened. This is kept in your browser only until you close the tab, and reaches us only with a form you choose to submit. We use it to see which of our channels are working, not to identify or follow you.

Why we collect it

We use your details solely to respond to your enquiry, to arrange a planning discussion, or to assess your application for a Life Planner role or internship. We do not sell your data, and we do not use it for automated decision-making.

What happens when you submit a Life Planner’s form

Three things happen. Your details are recorded in our agency system so the enquiry is not lost; a notification containing those details is emailed to the Life Planner whose page you used, so they can prepare before replying; and WhatsApp opens on your own device with a message to that Life Planner already written. The WhatsApp message is sent by you, from your own account, and is governed by WhatsApp’s privacy policy rather than ours. Nothing is sent on your behalf.

Who we share it with

Your details are seen by the Life Planner handling your enquiry and by the agency administrators who oversee the agency’s enquiry records. An enquiry sent through this website reaches the agency administrators first. If you named the person who referred you, or if the subject of your enquiry suits a particular Life Planner, an administrator may pass your enquiry to that Life Planner so they can reply to you; they then see the details you submitted. Naming someone is a suggestion, not an instruction. An administrator decides, and no enquiry is routed automatically. Where an enquiry relates to a takaful certificate, your details may be shared with AIA PUBLIC Takaful Bhd. for processing. Our systems are hosted on Google Cloud in Singapore, which stores and processes the data on our behalf under contract. We do not share your data with any other third party except where required by law or by a regulator.

How long we keep it

Enquiry records are retained for 24 months after your enquiry, after which they are deleted automatically. Where an enquiry leads to a takaful certificate being issued, the related records are kept for as long as the certificate remains in force and for any further period required by law or by our regulators. Records of job and internship applications are kept for 24 months after your application or after our last step on it, whichever is later, and are then deleted automatically. If you join us as an agent, your application becomes part of your agent record and is kept while you are with us and for any further period required by law. You may ask us to delete your details sooner. See “Your rights” below.

When a Life Planner arranges to meet you

If a Life Planner arranges a meeting with you, they may note your name, the meeting place and a short reminder in their own diary in our agency system. Inside that system the note is shown only to that Life Planner, not to the agency’s administrators, and it is deleted automatically 90 days after the date of the meeting. If the Life Planner has connected their own Google Calendar, the note is also copied into a calendar in their Google account so that it appears on their phone, with your name unless they have chosen to leave names out. Those entries are removed automatically 90 days after the meeting too. Google’s handling of that copy is covered by Google’s own privacy policy.

Third-party content on this website

Our Events page displays our Instagram posts through a gallery service provided by Elfsight, and our Contact page embeds a Google Map. Every form on this site is protected by Cloudflare Turnstile, a verification check that confirms you are a person rather than an automated script; it receives your IP address and basic browser information but does not track you across websites or set advertising cookies. These services load content from their own servers and are governed by their own privacy policies, not ours. No information you enter into our forms is shared with them. We also use Google Analytics to understand how the site is used. On our pages for employers, careers and internships, and on the pages about the agency itself, we also use the LinkedIn Insight Tag, which tells us how visitors from LinkedIn use those pages and lets us show our LinkedIn adverts to people who have visited them. It is never used on our pages about takaful for individuals and families, or on our Contact page, and it does not receive anything you type into our forms. Both load only after you agree to them in the cookie banner. Decline, and no analytics or advertising tags are loaded at all.

Your rights

You may request access to, correction of, or deletion of your personal data, and you may withdraw your consent at any time. Contact us using the details on the Contact page.

AIA PUBLIC Takaful Bhd. is licensed under the Islamic Financial Services Act 2013 and regulated by Bank Negara Malaysia. All takaful certificates are issued by AIA PUBLIC Takaful Bhd.
